Business process mapping

Map your business processes without a workshop

Process mapping usually means sticky notes, interviews and a consultant's diagram that's out of date by the time it's finished. BobWork builds the map from evidence your business already has: your website and, if you choose, your customer chat history.

What the map covers

BobWork maps the customer-facing process end to end, in six stages:

  1. Acquisition — where enquiries come from and what the first reply has to do
  2. Qualification — the questions that separate a real job from a tyre-kicker
  3. Booking — how a visit, call or appointment actually gets fixed
  4. Delivery — what happens between yes and done
  5. Payment — deposits, invoices, reminders, proof of payment
  6. After-sales — follow-ups, reviews, warranty and repeat business

Inside each stage, every step is tagged SITE when your website documents it or INDUSTRY when it is standard practice for businesses like yours that your site doesn't mention yet — which is usually where the gaps are.

Process documentation, not just a diagram

A map is only useful if someone can act on it. Alongside the map you get:

  • Workflows — each process your business runs, as numbered steps — who does what, and when it hands off
  • SOPs — the same workflows written as standard operating procedures a new hire can follow
  • Knowledge base — articles by section: company information, services and coverage, pricing and deposits, policies
  • FAQs — the questions customers really ask, with the answers your business already gives
  • A six-stage blueprint — acquisition → qualification → booking → delivery → payment → after-sales, each step marked as coming from your site or from industry practice
  • Suggested automations — the steps an AI agent could take over first — escalation to a human, CRM updates, invoicing, booking

How it works

  1. Enter your website. BobWork reads up to 18 pages — homepage, about, services, pricing and FAQ first.
  2. Optionally link your WhatsApp. Real customer conversations show the process as it actually happens. It unlinks automatically when done.
  3. Get your workflows. Workflows, SOPs, FAQs and a knowledge base — download as PDF, Markdown, a plain-text SOP, FAQ as CSV, JSON, or a Dify dataset.

Who it's for

Owner-led and growing teams — typically from one person to around a hundred — in home and trade services, retail and e-commerce, food and beverage, health and wellness, beauty, education, property, automotive, logistics, travel and events, and professional services. If your customers reach you by website or chat, there is a process to map.

From map to automation

The map shows which steps are repetitive and rule-based. Those are the ones an AI agent can run end to end — answering the enquiry, qualifying it, quoting, booking, chasing the payment, updating the CRM and reporting back. When you're ready, BobWork builds and runs that agent for you.

Frequently asked questions

What is business process mapping?

Drawing out, step by step, how work moves through your business — who does what, in which order, and where it hands off — so it can be improved, delegated or automated.

Do I need to be interviewed?

No. The map is built from your website and, optionally, your WhatsApp conversations. Nothing to fill in.

How accurate is it?

Steps are labelled by source: documented on your website, observed in your chats, or suggested from industry practice. You can see exactly which parts describe today and which are recommendations.

Can I export the process map?

Yes: PDF, Markdown, a plain-text SOP, FAQ as CSV, JSON, or a Dify dataset.

Is it free?

Yes. Building and downloading your process map, workflows and knowledge base is free, with no account.
